Stepping Stone Condominium Clubhouse Rental
The Clubhouse is only available for rent from unit owners. The Clubhouse can be rented, but scheduling is first come, first serve. A $250 deposit will be required to hold the reservation, $50 of which is non-refundable. The non-refundable $50 includes janitorial/ cleaning services and opening and closing services by the Office Manager. After inspection, if cleaning was not extensive and no damage has been done, the remaining $200 will be returned within one week of the event. Deposits can be check or cash, but reservation is not firm until the check clears. If deposit is not received within one week of the scheduled event, the date and time will become available for other unit owners.

Owners renting the Clubhouse will be asked to sign a Clubhouse Rental & Responsibility Form and submit it with your deposit.

Clubhouse Rental & Responsibility Rules
The Association has been charged with managing the Clubhouse which includes scheduling use, cleaning, maintenance and establishing rules of use. We require acceptance of responsibility for all damages, understanding of all rules, and deposit in order to rent the Clubhouse. Clubhouse rental is first come first serve. By signing the form the Unit Owner agrees to the rental in its present condition under the following terms:
1. Renter accepts full responsibility for the security and all damages which may occur, either as the result of accidents or intentional acts of Renter, guests, and/or vendors secured by the Renter at the time of rental until Clubhouse is inspected and deemed acceptable by the office manager.
2. Renter shall indemnify and hold SSCA harmless from all liability for any and all accidents occurring during the time of the rental.
3. Clubhouse is only available for rental by unit owners.
4. Rental requires a $250 deposit, $50 of which is non-refundable. If Clubhouse passes inspection by the office manager, the remainder of the deposit will be returned no later than one week from the day of the rental. Any damage requiring repair or replacement will be deducted from the deposit. If repair or replacement exceeds $200, the unit owner signing below accepts responsibility to compensate the SSCA for those costs. Renter further agrees that if recuperation of compensation is placed in the hands of an attorney for collection, costs will then include reasonable attorney’s fees. Deposit must be made at least one week before event.
5. Deposit includes cleaning. For excessive mess requiring additional hours of cleaning, additional deduction of deposit will be required. Office Manager will determine if mess is extensive.
6. All event scheduling is on a “first-come first-served” basis. An evening event booked after an afternoon event may be required to have a later start time. Set-up shall be included in booking time, unless other arrangements are made directly with the office manager.
7. Renter has use of the kitchen area and appliances, sitting area, and bathrooms.
8. Decorations of any kind shall NOT be attached to the walls, ceilings, existing wall decorations, woodwork, ceiling fixtures, window treatments, by use of nails, scotch tape, staples, etc.
9. All Renters, guests, caterers, musicians and vendors shall be out of the Clubhouse one-half (1/2) hour after the event’s scheduled ending time, unless prior arrangements have been made with the office manager.
10. Table trash, cups, plates, plastic-ware, cake, food, decorations, etc. will be gathered and placed in proper garbage receptacles before leaving. All cups will be emptied of liquid into the sinks before being placed in the trash receptacles.
11. Unless prior arrangements are made with the office manager, the kitchen is to be considered a “warming or staging” kitchen only and shall not be used for full preparation of meals for guests. Caterers or serving personnel may use stove/oven, the refrigerator, tables/countertops for service at your event.
12. Use of Pool Deck Area.
The deck area is available for use with the Clubhouse, weather permitting. Although there is NO
SMOKING in the Clubhouse, smoking is permitted on the deck. Renter is responsible for disposing of cigarette butts in the proper receptacles (not planters or flower beds). Renter shall use no nails or staples on the deck; plastic wire ties are acceptable, but must also be disposed of at the end of the event. Any necessary clean-up by will be deducted from the deposit.
13. Renter is requested to ensure that guests observe the city noise ordinance inside and outside the Clubhouse.
14. Caterers. When using a caterer or vendor, please have them provide an appropriate certificate of insurance to the office manager, and let them know they must review and adhere to the provisions in this agreement.
15. Conduct of Event. For the duration of the event, the Renter and guests must abide by the SSCA Bylaws, policies and procedures as well as comply with applicable regulations and laws of the City of Huntsville and the State of Alabama. Renter is responsible for the actions of guests and vendors and for any damages or losses incurred during the event. The SSCA has the right to refuse entry or service to and remove from the premises any person(s) it deems to be behaving in an improper or abusive manner or in a manner not befitting the SSCA. We reserve the right to exclude or remove any undesirable persons from the event and premises without liability.
